Zoho to Stack

Welcome to your guide for migrating data and functionalities from Zoho’s suite of applications to Stack. This guide will help ensure a smooth transition, retaining key data, automations, and workflows while taking full advantage of Stack’s integrated marketing and CRM capabilities.

Important: Make sure to migrate all of the following components when switching from Zoho to Stack:

  1. Contacts
  2. Users
  3. Calendars
  4. Opportunities
  5. Forms
  6. Contracts
  7. Sites
  8. Automations
  9. Analytics

  1. Prep Contact Data for Export:

    • Recreate mailing lists and segments into tags for migration to Stack.
  2. Export Zoho Data:

    • Navigate to Setup and select Data Administration. Choose Export, then Module > Contacts.
  3. Select Fields to Export:

    • Choose fields from Custom View, All fields, or select specific fields. Ensure fields include either email or phone number.
  4. Download Data:

    • Click Export. Once completed, download the CSV file.
  • Check Date Formats: Ensure all date fields are in the YYYY-MM-DD format.
  • Encode Special Characters: Use UTF-8 encoding for special characters.
  • Clean Up Data: Remove line breaks, emojis, and unnecessary characters.
  • Recreate Custom Fields: In Stack, go to Contacts > Settings > Custom Fields to add necessary fields.
  1. Log in to Stack: Navigate to the Contacts section.
  2. Start Import Process: Click Import Contacts.
  3. Upload CSV File: Select and upload your prepared CSV.
  4. Map Fields: Match CSV fields to corresponding Stack fields.
  5. Assign Tags and Lists: Apply tags and lists, such as “Zoho Import.”
  6. Complete Import: Click Import to add contacts to your account.
  • Review: Ensure all data is accurate and complete.
  • Create Smart Lists: Use migration-specific tags to recreate smart lists.
  • Cross-Check with Zoho Data: Verify data accuracy with original Zoho data.

  1. Export Zoho Data:

    • Navigate to Setup and select Data Administration. Choose Export, then Module > Users.
  2. Select Fields to Export:

    • Choose fields to export, ensuring inclusion of email or phone number.
  3. Download Data:

    • Click Export and download the CSV file once completed.
  • Check User Data: Ensure unique email IDs for all users.
  • Breakdown Users By Teams: Organize users by teams and permissions.
  1. Add User: Go to Settings > Team and click + Add Employee.
  2. Set User Type and Role: Assign appropriate roles and permissions.
  3. Add Remaining Users: Clone permissions for consistency.

  1. Export Zoho Data:

    • Navigate to Setup and select Data Administration. Choose Export, then Module > Appointments.
  2. Select Fields to Export:

    • Choose fields to export.
  3. Download Data:

    • Click Export and download the CSV file once completed.
  1. Create Stack Calendars:

    • Go to Settings > Calendars and set up calendars similar to ZohoBookings.
  2. Add Calendar Integrations:

    • Navigate to Settings > Calendars > Connections to sync calendars.
  3. Preview and Test:

    • Ensure the new setup matches your current booking system.

  1. Export Zoho Data:

    • Navigate to Setup and select Data Administration. Choose Export, then Module > Deals.
  2. Select Fields to Export:

    • Choose fields to export, ensuring inclusion of email or phone number.
  3. Download Data:

    • Click Export and download the CSV file once completed.
  1. Log in to Stack: Go to Opportunities > Pipelines > + Add Pipeline.
  2. Add Custom Opportunity Fields: Create fields similar to Zoho Deals.
  1. Prep CSV Data: Ensure it meets Stack’s requirements.
  2. Add Opportunities to Stack: Import and map fields accordingly.
  • Review Data: Ensure accuracy and completeness of imported data.

  1. Log in to Zoho Forms: Access your account.
  2. Export Form Responses: Manually export form structures and responses.
  1. Create Forms in Stack: Go to Sites > Forms and create new forms.
  2. Configure Form Actions: Set up automated actions to replicate Zoho functionality.

  1. Log in to Zoho: Select the Contracts tab.
  2. Download Contracts: Manually download contract structures.
  1. Create Contracts in Stack: Go to Payments > Documents & Contracts and create new documents.
  2. Configure Document Actions: Set up document actions to replicate Zoho functionality.

Step 1: Export Website Content from Zoho Sites

  1. Log in to Zoho Sites: Access your account.
  2. Export Website Content: Manually copy content, save HTML/CSS, and download media files.
  1. Rebuild Site in Stack: Go to Sites > Funnels or Sites > Websites and recreate pages.
  2. Disconnect your Domain(s) from Zoho: Remove domains from Zoho.
  1. Log in to Stack: Go to Settings > Domains > Add Domain and enter your domain(s).

  1. Document Workflow Rules: Access Setup > Automation > Workflow Rules.
  2. Document Automated Responders: Access Leads/Contacts and document autoresponders.
  3. Document Lead Scoring Rules: Access Setup > Automation > Scoring Rule.

Step 2: Recreate Engagement Scoring in Stack

  1. Replicate Lead Scoring: Go to Settings > Manage Scoring > + Add New Rule.

Step 3: Recreate Triggers and Actions in Stack

Section titled “Step 3: Recreate Triggers and Actions in Stack”
  1. Log in to Stack: Go to Automation > Workflows.
  2. Set up Triggers and Actions: Configure similar triggers and actions to replicate Zoho automations.

  • Export: Manually export or copy additional data or configurations from Zoho.

Step 2: Walkthrough Stack Reporting Features

Section titled “Step 2: Walkthrough Stack Reporting Features”
  • Custom Widgets: Recreate reporting in dashboard widgets to match Zoho analytics.

By following these steps, you can ensure a seamless transition from Zoho to Stack, retaining all essential data and functionalities.
