Create invoice templates and automatically send an invoice in a workflow using templates

With Stack, you can streamline your invoicing process by creating and utilizing invoice templates. This feature allows for quick creation of both one-time and recurring invoices and enables you to send them automatically through workflows.

To create a template from an existing invoice:

  1. Open the invoice you wish to convert.
  2. Use the Convert to Template action.
  3. Assign a meaningful name to your template for easy future reference.

Invoice templates can include comprehensive business information such as:

  • Business name and logo
  • Invoice title
  • Product line items
  • Taxes and discounts
  • Terms and conditions

When sending an invoice, customer details, along with the issue and due dates, will be automatically populated based on your invoice settings.

All your templates are accessible on the Templates page within the Invoicing section. Here, you can:

  • Use templates for one-time or recurring invoices
  • Modify, rename, or delete templates as needed

Once your templates are set up, you can send invoices automatically within a workflow:

  1. Use the Send Invoice action in your workflow.
  2. Configure the action name.
  3. Select the From User to define sender details.
  4. Choose a template from your list of created templates.
  5. Specify the payment mode.

The default or custom template configured in your invoice settings will be used to send the invoice automatically as part of the workflow.

This feature is particularly useful for automating invoicing in scenarios such as:

  • After an appointment is booked
  • When an opportunity status changes
  • When a tag is attached to a contact
  • Any other existing trigger

By utilizing invoice templates in Stack, you can enhance efficiency and ensure consistent communication with your customers.
