Create document/contract templates and send them automatically inside a workflow
Effortlessly manage your business documents and contracts with Stack’s document template feature. This guide will walk you through creating templates and automating their delivery within workflows.
Creating Document/Contract Templates
Section titled “Creating Document/Contract Templates”With Stack, you can easily create templates for your documents and contracts. This feature allows for quick sending and automation within workflows.
Steps to Create a Template
Section titled “Steps to Create a Template”-
Convert Existing Documents: You can transform any existing document into a template. Use the Convert to Template action and assign a meaningful name for easy future reference.

Include Essential Details: Templates can include all necessary information related to your document or contract, excluding recipient details.

Assign Signature Elements: If a business user is required to sign every document, you can assign signature fields to yourself within the template. This ensures the process is streamlined for potential client interactions.
Managing Your Templates
Section titled “Managing Your Templates”- Access Your Templates: All your templates are conveniently listed on the Templates page under the Documents and Contracts section.
- Modify as Needed: You have the flexibility to modify, rename, or delete templates whenever necessary.
Automating Document Sending in Workflows
Section titled “Automating Document Sending in Workflows”Stack allows you to automate document and contract delivery using workflows. This is particularly useful for scenarios like sending documents after an opportunity status changes or when a tag is added to a contact.
Configuring Workflow Actions
Section titled “Configuring Workflow Actions”-
Set Up the Send Action: Within a workflow, configure the Send document/contract action to automatically dispatch a document based on a trigger.

Select Document Details: Use templates from the Documents & Contracts module to specify the details that should be sent to the customer.

Define Sender Information: Choose the sender using the From User option and select the appropriate template from your existing collection.

Utilize Default/Custom Templates: The system will automatically use the default or custom template set in the Documents & Contracts settings for workflow actions.
Use Case Scenarios
Section titled “Use Case Scenarios”- Automatic Document Sending: Automatically send documents when specific triggers occur, such as a change in opportunity status or a new tag attachment.
- Signature Assignments: Create templates with signature fields for both business users and potential clients. Unassigned signature fields will automatically be allocated to the intended recipient.
